Using Coil
Coil Documentation
Set up your workspace, run daily operations, and connect agents to Coil's API and MCP tools.
Your First Workspace
- Sign in with Google and create or join a Coil workspace. The workspace is the boundary for your business data.
- Add suppliers and locations. Locations are venues; suppliers are where you purchase stock.
- Create products or adopt approved products from the global catalog. Set prices and purchasing targets for your workspace.
- Create machines and place them at active locations. A machine can exist before it has a location.
- Record purchases as lots, attach original receipts, and create the individual inventory units you will sell.
- Move stock into machines and keep machine counts and targets current in Restock.
- Record sales by importing your vending software's sales report through an agent, or enter a few sales by hand in Sales. Review results in Dashboard and Reports.
Products, Lots, and Units
A product describes what you buy and sell. A lot records one acquisition, its cost, quantity, expiration, and receipt links. Inventory units are the individual sellable items created from that lot.
An in-stock unit without a machine assignment is warehouse storage. Receipts link to lots; expiration belongs to the lot, not the product. Creating a product alone does not create inventory.
Daily Operations
- Products: manage workspace prices, identifiers, stock targets, and approved-catalog adoption.
- Inventory: inspect lots, units, expiration, placement, and acquisition costs.
- Sales: import vendor sales reports, record manual sales, match sales that had no stock, and undo mistakes.
- Restock: count a machine, move warehouse stock into it, and set product targets. Restock does not record sales.
- Receipts: preserve original documents, classify purchases/expenses, and connect proof to lots.
- Mileage: record ordered stops, distance, and the trip's mileage rate.
- Reports: review revenue, COGS, fees, taxes, and location payouts before exporting.
Team and Agent Access
Workspace owners grant team access in Settings. Managers can operate the workspace; viewers are read-only. Coil-wide catalog administration is separate from workspace roles.
Owners can also create expiring API keys in Settings > Agent Access. Each key is limited to one workspace and its selected permissions. Connecting an agent is optional; manual UI workflows remain available.
